Mail: Beyond the Inbox

VIPs: Prioritize Important Senders

VIPs (Very Important People) get special treatment—their emails appear in a dedicated mailbox and can trigger unique notifications.

Setting Up VIPs:

  1. Open an email from important contact
  2. Click sender’s name/email
  3. Select “Add to VIPs”
  4. Or: Click star icon in message header

Creating Smart Mailboxes:

  1. Mailbox > New Smart Mailbox
  2. Name it
  3. Set conditions:
    • From — Specific sender(s)
    • To — Specific recipient
    • Subject — Contains keywords
    • Date — Received today, yesterday, etc.
    • Attachments — Has attachments
    • Account — Specific email account

Rules: Automatic Email Processing

Rules filter and process incoming email automatically.

Creating Rules:

  1. Mail > Settings > Rules
  2. Click Add Rule
  3. Set conditions (if any match / if all match)
  4. Set actions:
    • Move to mailbox
    • Flag
    • Forward
    • Reply with template
    • Run AppleScript
    • Delete
    • Mark as read

Essential Rules to Create:

Rule 1: Newsletter Filtering

Templates with Stationery

Create reusable email templates:

  1. Compose email with placeholder text
  2. Edit > Save as Stationery (Note: This feature may vary by macOS version)

Alternative: Signature as Template

Create multiple signatures that serve as templates:

  1. Mail > Settings > Signatures
  2. Click + to create new signature
  3. Paste template text
  4. When composing, select signature from dropdown

Attachment Handling

Large Attachment Warnings:

Mail warns when sending large attachments. For very large files:

  1. Use Mail Drop (automatic for attachments > 20MB)
  2. Or upload to cloud (iCloud Drive, Dropbox) and share link
  3. Or compress: Right-click file > Compress

Managing Received Attachments:

  1. Click attachment in email
  2. Options:
    • Open — View directly
    • Save — Download to folder
    • Save All — Download all attachments
    • Quick Look — Preview without opening (Space bar)

Default Download Location:

  1. Mail > Settings > General
  2. Set Downloads folder preference

Messages: Efficient Messaging

Messages (iMessage) handles both SMS and iMessage conversations with Mac-to-iPhone continuity.

Pinned Conversations

Keep important conversations at the top:

  1. Find conversation in list
  2. Right-click > Pin
  3. Or: Drag conversation to top

Send SMS from your Mac (requires iPhone):

Setup:

  1. iPhone: Settings > Messages > Text Message Forwarding
  2. Enable your Mac
  3. Enter code shown on Mac into iPhone

Now you can:

  • Send/receive SMS from Mac
  • See all iMessage conversations
  • Sync read status
  • Start conversation on Mac, continue on iPhone

Screen Effects and Tapbacks

React quickly with tapbacks:

  1. Hover over message
  2. Click 👍 button that appears
  3. Choose: 👍 👎 😂 ❤️ ! ?

Screen effects (iMessage only):

  • Type special phrases for full-screen effects:

  1. Open Safari sidebar (⌃ + ⌘ + 1)

Integration: Mail + Calendar + Reminders

Mail to Calendar

Create events from emails:

  1. Open email with date/time info
  2. Hover over detected date/time
  3. Click arrow icon
  4. Select Create Event
  5. Event created with email link

Mail to Reminders

Convert emails to tasks:

  1. Open email
  2. Right-click > Share
  3. Select Reminders
  4. Reminder created with link back to email

Or use Services:

  1. Select text in email
  2. Right-click > Services > New Reminder

Best Practices

Email Management

Inbox Zero Approach:

  1. Process email at set times (not constantly)
  2. Touch once: Reply, Delete, Delegate, or Archive
  3. Use flags for “needs action”
  4. Empty spam regularly

Avoid Email Bankruptcy:

  • Don’t let inbox grow indefinitely
  • Use Archive for “maybe reference later”
  • Use folders only when necessary (search is powerful)
  • Unsubscribe ruthlessly

Messaging Etiquette

Async vs. Urgent:

  • Email = async (response expected within day(s))
  • Messages = semi-urgent (hours)
  • Call = urgent (immediate)
